Stop Apologizing for the "Inconvenience"

I didn't plan to write about a single word. Recently, I've had "we apologize for any inconvenience" handed to me three or four times, in business dealings and in my personal life. Each time, the problem I was dealing with was real, and each time the response made it feel smaller than it was. Being on the receiving end of it that often, I realized it wasn't the problems that bothered me most. It was the phrase


Few phrases in business are as familiar, or as hollow. It shows up on delayed shipments, website outages, backorders, and service calls that ran late. It's meant to smooth things over, but it often does the opposite.


Where the word comes from


"Inconvenience" came into English around 1400 by way of Old French, from the Late Latin inconvenientia: in- meaning "not," joined to a root meaning "fitting" or "agreeing," from convenire, "to come together." Its early English meanings were anything but mild. It described harm, danger, and misfortune. Not until the 1600s did it settle into its modern sense of a minor bother or disadvantage.


That softening is the problem. A word that once meant real damage now means a detour or a short wait. When we use it to describe a customer's real problem, we're quietly assigning that problem a size.


Why it lands badly


The phrase minimizes. If a customer's production line is down waiting on a motor, that isn't an inconvenience. It's lost output, idle labor, and a missed commitment to their own customers. Calling it an "inconvenience" tells them we don't understand what happened to them, or worse, that we do and are choosing to downplay it.


It's also evasive. "Any inconvenience" hedges, as if we're not sure anything went wrong. Nobody in particular did anything, and nobody in particular is responsible for fixing it. It reads like it came off a template, because it usually did.


Why it's an emotional word


Customers rarely reach out about a problem while they're calm. They're frustrated, pressured by their boss, or worried about a deadline. In that state, people are highly sensitive to whether they're being heard. "Inconvenience" is a label placed on their experience by someone who didn't have it. When your description of their situation is smaller than what they're feeling, the gap becomes the new grievance. The original issue was a late part. Now the issue is that you don't get it.


Why it turns clients off


Business relationships run on trust, and trust runs on credibility. Boilerplate apologies signal that a customer is being processed, not helped. In industrial and B2B work especially, clients are buying reliability and competence. A canned phrase suggests neither. It can make a small company sound like a faceless call center, which throws away one of the biggest advantages a smaller, relationship-driven business has.


What to say instead


Name the actual problem, own it, and say what happens next:


  • "Your order shipped two days late. That's on us, and I know it put your schedule in a bind."
  • "The replacement part is backordered until Thursday. Here's what we're doing to get you running in the meantime."
  • "I'm sorry this delayed your job. Here's how we're making sure it doesn't happen again."


Specific beats generic. Ownership beats hedging. And a plan beats a platitude every time.


Why this matters to me

They need someone who understands what a delay means on their floor. That's why "inconvenience" isn't part of how we talk to our customers. When there's a problem, we name it, own it, and tell you exactly what we're doing about it.


Hearing it so many times in a row was a good reminder of why we hold that standard.


Your customers don't need to hear that they were inconvenienced. They need to hear that you understand what it cost them, and what you're going to do about it.
